About the Client

Sharda University is a multidisciplinary university on a 63-acre campus in Greater Noida, with 17,000+ students and 1,100+ faculty members. Its School of Dental Sciences is DCI-approved and offers the BDS program (100 seats) and MDS across 7 specialisations. It runs one of the larger dental teaching setups in North India, with 280+ dental chairs, and its interns train at the 1,600+ bed Sharda Hospital.

The Challenge

Attendance in a dental school is harder to track than in most other programs. Students move between lecture halls, pre-clinical labs and clinical departments many times a day. And under Dental Council of India norms, a student’s attendance decides whether they can sit for exams at all.

Too many sessions, too many locations

A single BDS batch attends theory lectures, practicals and rotating clinical postings across multiple departments. MDS residents split their time between their specialty department, clinics, seminars and journal clubs. Paper registers and roll calls could not keep up with that many sessions.

Proxy attendance and lost teaching time

Roll calls take time out of every lecture, and signature sheets are easy to game. Faculty had no dependable way to confirm that the student marked present was actually in the room.

Eligibility tracking under DCI norms

DCI regulations require BDS students to maintain at least 75% attendance in theory and in practicals/clinicals, and each subject is tracked separately. Adding these up by hand from registers at the end of a term was slow and prone to errors. It also meant shortfalls often surfaced too late for students to recover.

Visibility for administration

The Dean’s office and department heads needed a single, current view of attendance across years, batches and departments, instead of chasing individual faculty for registers.

1. Faculty starts a session. The faculty member opens the session for the class, practical or clinical posting and displays a dynamic QR code that refreshes automatically every few seconds.
2. Students scan in. Students scan the code from the scanix app. Because the code keeps changing, it cannot be photographed and shared with absent classmates.
3. Location is verified. Geo-fencing confirms the student is physically on campus or in the designated area before the attendance is accepted.
4. Records sync instantly. Attendance goes straight to the cloud dashboard, tagged by program, year, batch, subject, session type and department.
5. Reports generate themselves. Subject-wise and session-type-wise percentages are calculated automatically, so faculty and administrators can spot students heading below the eligibility threshold well before exams.
